The Operations Administrative Coordinator will play a critical role in supporting the startup and rapid scaling of INNIO’s Jenbacher production operations in Waukesha, Wisconsin. This position provides administrative, onboarding, operational, and project coordination support to the Jenbacher Operations leadership team while helping ensure a smooth integration and onboarding experience for new employees and international training teams.
This role requires a highly organized, proactive, and service-oriented individual who thrives in a fast-paced manufacturing startup environment and can effectively coordinate activities across operations, HR, IT, facilities, and global teams.
What you’ll do:
- Onboarding & Training Coordination
- Coordinate onboarding activities for new employees, ensuring a structured and consistent experience.
- Manage onboarding materials & readiness checklists, system access, training schedules, workstations, tools, and required documentation in collaboration with IT and other stakeholders.
- Coordinate orientation schedules, team introductions, plant tours, and initial training activities in partnership with HR and hiring managers.
- Track onboarding progress and follow-up to support successful integration of new hires.
- Support coordination of international visitors, trainers, and employees participating in Austria/U.S. knowledge transfer activities.
- Operations & Administrative Support
- Support the Jenbacher Operations leadership team with day-to-day administrative and operational coordination activities.
- Coordinate meetings, workshops, training sessions, and leadership events, including scheduling, room setup, catering, materials, and follow-up actions.
- Support document organization and administrative coordination for cross-functional startup activities
- Provide day-to-day administrative support, including managing calls, emails, and general inquiries.
- Manage incoming and outgoing mail, shipments, and deliveries.
- Support visitors, travel coordination, visitor logistics
- Manage office supply inventory and place orders as necessary for assigned work area, including coordination with vending/coffee supplier.
- Working with administrative support staff, develop office policies and procedures, and ensure they are implemented appropriately.
- Provide back up to administrative support staff as needed.
What you’ll bring:
- Bachelor’s degree from an accredited university or college (or a high school diploma with a minimum of 4+ years of experience in an executive, operations coordination or administrative assistant position) or equivalent combination of education and experience.
- Experience supporting operations, manufacturing, engineering, or project teams preferred.
- Expert level skills in MS Office products: Outlook, Teams, Word, Excel, PowerPoint
- Able to work under time pressure
- Willingness and ability to work a flexible schedule when necessary

- Work Schedule: Onsite Monday through Friday
